About this role
Department: Department of Public Works and Infrastructure Location: Cape Town Regional Office Salary: R338 106 per annum Requirements: A minimum of three-year tertiary qualification (NQF Level 06) / National Diploma in Public Administration/Public Management or related qualification. Relevant years of work experience in administrative or operational support. Valid driver license. Computer literacy (MS Word, PowerPoint, Excel, and Outlook). Administrative and organising skills, Good written and verbal communication, Record-keeping and document management, Stakeholder liaison, Problem-solving abilities. Knowledge of Government regulatory framework, Minimum Information Security Standards (MISS) Act, 138 Departmental strategic goals and objectives and service delivery programmes, Public Finance Management, Public Service Regulation, Public Service Act, National Minimum Information Requirement, Regulations of the National Archives and records Service of South Africa Act and related records management processes, Archive standards and procedures. Duties: Provide administrative support to the Prestige Directorate With regard to the Parliamentary Precinct in terms of co-ordinating meetings: Prepare meeting notices, agendas, and documentation packs. Record and distribute minutes and action items. Maintain a register of resolutions and decisions. Coordinate logistical arrangements for bi-lateral meetings. Maintain proper filing systems (electronic and manual). Support communication and liaison processes between the client department, the South African Police Service, and relevant stakeholders: Draft routine correspondence and stakeholder communication. Maintain updated contact databases of the clients and stakeholders. Coordinate submission and tracking of queries and service requests. Assist with the parking administration and record keeping of the parking areas pertinent to the Parliamentary Precinct. Assist with preparation of reports and briefing documents. Supports financial record-keeping and compliance processes in line with Treasury and audit requirements: Track implementation of resolutions pertinent to specific meeting. Liaise with client regarding day-to- day maintenance calls logged. Liaise with Service Providers on work in progress as well as completed calls logged.
