Professional Email Etiquette for Job Seekers

Email is still a major part of job searching. A professional message makes it easy for a recruiter to identify your application and respond without searching for missing information.

Make the message scannable

Use a clear subject line with the role title and reference number when one exists. Open with the purpose of the message, add the necessary detail, and close with your full name and contact number.

Keep paragraphs short. A recruiter should be able to understand what you need or what you have attached in a few seconds.

Treat attachments as part of the application

Name files logically: Surname_Name_CV.pdf or Surname_Name_Z83.pdf. Open every attachment before sending and check that it is complete, readable and the correct version.

If file size may be a problem, follow the employer’s instructions rather than sending several emails without context. Never assume a broken upload has been received.

Follow up with purpose

Follow up only where the advert permits it and after a reasonable period. Be polite, state the role and date you applied, and ask one clear question.

Do not send repeated messages or use informal language because you are anxious. Calm, useful communication strengthens your professional reputation.
